What are Vacancy Approvals?
The Vacancy Approvals feature allows End Hirers, Master Vendors, and MSPs to set up a chain of management approval steps which must be completed before any vacancy can be released for fulfilment to your designated vendors.
This feature allows End Hirers, Master Vendors, and MSPs to ensure that all vacancies have been reviewed and approved before they are released to agencies for worker submissions. In order to approve vacancies, you will need to have Vacancy approvals configured which can be done via VMS Configurations or Client Configurations depending on whether or not you are working with an MSP.
Who can interact with this?
Administrators, Hiring Managers, and Commercial Managers can access the VMS Configurations section to enable Vacancy Approvals for an End Hirer.
How do Vacancy Approvals work?
When vacancy approvals have been configured, a vacancy will only be released to agencies once it has been approved by pre-selected team members.
There can be multiple levels of vacancy approvals and these can be used to represent different departments, teams, or groups within your business e.g. HR, or Directors. Within each level, you can have as many approvers as you would like and you can select how many of those approvers are needed in order for the vacancy to be released to agencies. e.g. only 2 out of 4 approvers need to approve the vacancy for it to be released to agencies.
Configuring Vacancy Approvals as an End Hirer
To configure vacancy approvals:
Step 1. Log into Engage
Step 2. Navigate to ‘Preferences’, then ‘VMS Configurations’
Step 3. Select the 3-line menu on the relevant VMS Configuration
Step 4. Select ‘Edit Approvals’
Step 5. Select ‘Add level’
Step 6. Assign a name to the level
Step 7. Select all the approvers who will be assigned to the level
Step 8. Select the numbers of approvals necessary to authorise the vacancy
Step 9. Select ‘Save’
Configuring Vacancy Approvals for an End Hirer as an MSP
To configure vacancy approvals:
Step 1. Log into Engage
Step 2. Navigate to ‘Network’, then ‘Businesses’
Step 3. Select the End Hirer which requires Vacancy Approvals
Step 4. Select ‘Client Configurations’
Step 5. Select the 3-line menu on the relevant configuration
Step 6. Select ‘Edit Approvals’
Step 7. Select ‘Add level’
Step 6. Assign a name to the level
Step 7. Select all the approvers who will be assigned to the level
Step 8. Select the numbers of approvals necessary to authorise the vacancy
Step 9. Select ‘Save’
