When a worker is submitted to a vacancy there are two flows which can be followed to create a Placement for that worker. The worker can either be manually accepted by the End Hirer using the offer and reject flow or the worker can be automatically accepted by the Engage Platform which will create a placement when they are submitted to the vacancy.
Who can interact with this?
Only End Hirer users with the role of Hiring Manager, Commercial Manager, or Administrator will be able to Offer and Reject candidates. While all Agency roles will be able to Confirm candidates that have been offered a Vacancy. To learn more about Team Members Roles click here
Manual Submission Acceptance
If you wish to manage the submission of candidates, you can set a Vacancy’s Submission Acceptance to “Manual”. Enabling this feature will ensure that the End Hirer gets a chance to review candidates before they decide who to Offer the job to and who to Reject. This approval flow can give End Hirers more confidence in knowing that Placements will only be created for workers they’ve determined to be a great fit for the job.
Automatic Submission Acceptance
If you do not wish to manage the submission of candidates, you can set a Vacancy’s Submission Acceptance to “Auto”. Enabling this feature will automatically accept any worker that’s submitted to the Vacancy and will instantly create a Placement for that worker upon submission. This is a great feature if you have a working relationship with reliable suppliers that you trust.
Reviewing a Candidate
Step 1. Log in to Engage portal
Step 2. Navigate to 'Jobs' and then 'Vacancies'
Step 3. Select a vacancy with submitted candidates. You can easily tell which Vacancies have submissions by looking at the three columns below which describe the number of Required, Submitted, and Confirmed candidates.
Step 4. Scroll down to the Workers section of the Vacancy to see all submitted candidates
Step 5. Select the candidate you wish to review to open their submission application, which includes important information such as their availability, rates, skills and any compliance documentation shared by the agency within the comments section. You can also click on the worker’s name to access their personal and Right To Work details.
Offering a Candidate
If the Candidate meets your requirements, follow the steps below:
Step 1. Return to the Vacancy page and hover over their application
Step 2. Click on the 3-line menu
Step 3. Select 'Offer'
When a candidate is offered a vacancy, their Agency is immediately notified and asked to Confirm the Offer. Once the Agency confirms the offer, a Placement for that worker will be automatically generated in Engage.
Rejecting a Candidate
If the Candidate does not meet your requirements, you can either request more documentation via the comments section or simply Reject them by following the same flow in Offering a Candidate and selecting Reject in Step 3. If a candidate is rejected, their Agency will be notified and their slot will become available to any Vendors designated in the Vacancy.
